Overview:

The Orange County Regional History Center is seeking a highly qualified individual to fill the position of Chief Financial Officer. The History Center is a national multi-award-winning, AAM accredited, and Smithsonian affiliated institution centered around its mission: to serve as the gateway for community engagement, education, and inspiration by preserving and sharing Central Florida’s continually unfolding story. This position is employed by the Historical Society of Central Florida in support of the History Center.

The Chief Financial Officer serves as a member of the senior leadership team by managing and performing all financial and accounting matters of the Historical Society under the Executive Director. This position is responsible for oversight of financial policies and procedures, financial report and budget preparation, audit functions, creating forecasts, and serving as a thought partner to the executive director.

The position is full-time, 40 hours per week, and is generally Monday through Friday from 8 a.m. to 5 p.m., although some evening and weekend hours will be required for special events or other needs.

DUTIES AND RESPONSIBILITIES

  • Oversee daily, monthly, and annual internal and external financial reporting up through Board of Directors level. Attend and present reporting at meetings as required.
  • Direct the annual budgeting process and the development of financial plans/systems.
  • Ensure that the museum’s financial condition is in accordance with the guidelines established by management and the Board.
  • Construct financial models and strategic analysis for proposed museum activities and programs. Support department heads in understanding the financial and/or operational implications of programming decisions.
  • Direct and oversee maintenance of the General Ledger across systems, weekly & monthly revenue performance tracking, monthly financial reporting to Executive Director (and quarterly to the Board), project management of the annual budget, creation of pro-forma forecast models, working with independent CPAs to prepare tax returns in addition to tax return review & approval recommendation, and plan tax strategy and optimization.
  • Assure timely completion of the financial annual audits and support for other audit activities including year-end financial review. Oversee the preparation of tax returns including but not limited to Federal 990 and 990T, CT-990T, 5500 and Single State Audit Act, etc.
  • Ensure that the computerized financial management system, chart of accounts, and internal control systems are properly designed and maintained, and provide meaningful and timely information, including the effective use of Blackbaud technology platforms: Altru, BBMS, and Financial Edge.
  • Direct cash activities and all phases of revenue collection to maintain appropriate cash levels in line with cash management and banking policies, procedures, and protocols.
  • Manage banking relationships to optimize service and minimize cost to the museum. Reconcile revenue from point-of-sale system and other departments; prepare, verify, and record daily deposits; track accounts receivable to ensure timely cash flow, input accounts payable and generated check runs, and upload transactions to the accounting software.
  • Maintain knowledge of changing rules, regulations and best practices ensuring organization complies with existing standards and changes, i.e., AICPA, FASB, GAAP, IRS, and Federal and State regulations. Ensure compliance with funder regulations and all applicable state and federal laws, including filing/compliance for State of Florida: Sunbiz Annual Report, DCA Annual Charitable License, and Tax Exemption Status.
  • Maintain tracking of vendors for submission to the IRS of Misc-1099.
  • Provide grant funding support as required, including preparing and submitting financial reports.

REQUIRED KNOWLEDGE, SKILLS, AND PERSONAL QUALIFICATIONS

  • Bachelors degree (masters preferred) in business, accounting, finance, or related field, and at least 7 years of experience as a CFO or financial manager preferably in a museum. Or equivalent combined education and experience.
  • Ability to work effectively and in close cooperation with a wide range of stakeholders, including board members, coworkers, outside entities and individuals, to ensure the successful operation of the finance operation and the museum.
  • Maintains current knowledge of accounting practices, internal controls, FASB and GAAP, and nonprofit compliance.
  • Knowledge of financial procedures for nonprofit organizations.
  • Familiarity with Blackbaud, Altru, and Financial Edge is preferred.
  • Excellent knowledge of data analysis and forecasting methods.
  • Ability to prepare and deliver concise, understandable, and effective financial reports each month, quarter, and year.
  • Demonstrates detail-oriented skills to ensure minute details and correct.
  • Ability to achieve goals and results, prioritize work, solve problems independently, and work effectively under pressure when necessary.

The above description and qualifications are not all-inclusive and represent a majority of the key responsibilities of this position. Other duties may be assigned in the course of activities as required to fulfill the directives of the museum and strategic plan. Work environment is primarily in the museum with some light outdoor activity. Some moderate lifting.
